Setup of Divisions
 
Each Seasons defined has Divisions. If you association has different levels such as Bantam AA, Bantam AE, Bantam HL then  each level will need to be defined as a division.

Remember: if it is common, practice to assign ice block to House League and another ice block to Rep, and any open ice is used by only those distinct groups from their assigned ice blocks then it may be best to setup your database as 2 Seasons, HL Season – with respective HL Divisions, Rep Season, with respective Divisions. In this scenario, you may run reports on total ice used and game reports for each season. In this case, there will be 2 ARENA schedules one for each season.
If however you wish to have one season and manage all divisions in that one season the naming of your divisions is important. You may consider setting up all HL divisions with a HL Prefix or Local League with a LL Prefix. This way you can run reports and queries easily. Conflicts DO span Divisions.
To setup a DIVISION from the XSport menu toolbar (toolbar: Is the menu bar at the top of the main screen with the buttons and options that you use to carry out commands.)
1.        Select the Setup option from the menu.
2.        Select the Divisions option from the submenu.
3.        Click the ADD Division button from the bottom of the window.
4.        As in the image below, complete each of the respective fields.

·          DIVISION ID – this is the division ID - only use numbers and characters. No spaces, hyphens or other character.
·          DIVISION DESCRIPTION – this is the friendly name that describes the division ID – Use of number, characters, spaces, and hyphens may be used. The description is what is seen on reports and when working with the schedule.
·          GAME DURATION – time in minutes – the system will add this default time to the start time when you create or edit a game event for a team in this division. Note: if you assign a game for 90 minutes but this includes a 10-minute flood. If you need to communicate to your coaches when to curfew the game assign 80 not 90. Most centres have been including floods in the time.
·          PRACTICE DURATION - time in minutes – this is the default time the system will add onto the start time when you create or edit a practice event for a team in this division. Note: If you assign a practice for 60 minutes, this may include a 10-minute flood. If you need to communicate to your coaches when to leave the ice assigned at the 50-minute mark not 60 minutes then do not include the flood time.
·          DIVISION PREFIX – This box will be used by the system only to differentiate events. Enter 2-5 characters or numbers. No Spaces, hyphens or other character.
5.        Select the SAVE button from the bottom option bar.
6.        Repeat to enter all the Divisions your teams play against.
7.        Select the SAVE & CLOSE button from the bottom option bar once complete.

Tip  Games can be scheduled for teams defined in the same division but a team in one division cannot play against or vs. a team in another.

Tip If you receive an error “UNABLE TO UPDATE ROW” when creating a Division, this error was generated because some fields had no data (null data) in it when adding a division. This line must be removed. To remove a division, click the ROW or LINE so that the entire ROW is highlighted that represents the Division that has null data. Press the DEL key. The system will inform you that you are about to remove 1 Row. Select Yes.

 
TRICK If your centre holds CLINICS for Coaches create a DIVISION called: COACH CLINICS and then a team for each of the Clinics (i.e. Rec Stream, CHIPS etc) then you can book and manage the ice that you must assign for the on ice portion of the clinic.  This way then your arena reports will be more complete.
